Common issues with Email Delivery

In Rentman, sending emails is an important and crucial step to communicate your plans with customers and crew members alike. In this article, we highlight the common issues with email delivery within Rentman and how they can be resolved. 

Note: Trial accounts can not verify domains.

Note: Unverified domain after 30 days will be removed. Users will be informed about expiration in Configuration > Communication.

Internally, we use Mailgun is to send and track emails from your workspace to your customers. Emails such as invitations or invoices are being sent use this third party software. Mailgun can also experience downtime so make sure to follow their status page here.

Scenarios & Potential Solutions 

Scenario Solutions 
Trying to send email from crew-member with wrong email suffix
  • Correct the email from your crew-member. If they are a global user, ask the crew-member to correct the email themselves.
  • Delete the existing crew member and re-invite using the correct email. 
Emails are ending up in spam/blocked by spam filter (cause google/yahoo/apppe DMARC policys changed, support recommends to ask clients to tell their customers to whitelist the domain names)

Mailgun Outage

Unfortunately there is nothing we can do about this. 

Too many concurrent SMTP connections; please try again later.

Receipt email is currently getting a high volume of emails. Please try again later. 

Email delivered but long waiting time and/or soft fail Mailgun issue 

Recipient (server) issue or bouncelist, etc.

Issue is on recipient side. Please contact the recipient and ensure your email isn't on a blacklist or bounce list etc. 

Customer Domain Issue 

Issue on customer side. Wrong set up most likely is the issue

Already verified the email on another domain 

Contact pervious webhost and deselect/delete it 

What you may need to do 

To resolve majority of domain-related issues, users may need to do the following:

  1. Contact your web hosting provider
  2. Correctly verify your email domain
  3. Verify mail server setup. 

Note: Correctly verifying your domain is an important step to setting up your Rentman account for the long term. Take a look at this article that explains the set up process for your domain. 

Spam and Bounces 

In addition to the issues above, the reason your emails are not being received can simply be because your email has been marked with spam and therefore has bounced.

How Spam works: 

A server rates each incoming mail with a score based on a number of variables. These variables are confidential because attackers would abuse this information to make their spam emails go through. A perfect score is 100, and every error will lower the score. If the score is insufficient, the email is marked as spam.

Of course, this score can vary based on the content of your emails. You can test the score of your emails using tools like MailTester

How Bounces work: 

The server from the sending server (of Rentman) or the receiving server (of the customer) does not accept the email. The reason for this is often mentioned immediately by email or on the message screen in Rentman.
