Rentman helps you manage equipment and crew across different regions by offering flexible time zone settings. Whether you are handling events in multiple time zones or coordinating between warehouses, Rentman ensures accurate scheduling and communication by allowing you to set and manage time zones efficiently.
Default time zone
Rentman automatically sets a time zone for your account based on your location. It can be useful to change this, for example, when your country has multiple time zones.
The time format (24 hours vs 12 hours/ AM or PM) depends on the country you selected when creating your trial.
The date format (MM/DD/YYYY vs. DD/MM/YYYY) is determined by your computer's settings. In Windows computers, for example, you can change the region settings to change the date format.
Change your workspace's default time zone
- Go to the settings Configuration module > Settings > Time and location.
Note: Changing the default time zone affects your entire workspace.
Multiple time zones in Rentman
The Multiple Time Zones is ideal for businesses operating across different regions, helping you schedule crews and equipment accurately for local times, communicate consistently with teams, clients, and partners across time zones, and coordinate efficiently between multiple warehouses.
How you manage time zones in Rentman depends on whether you are using a single time zone or working across multiple ones.
Use a single time Zone if:
Your company operates in just one time zone, and you do not need to switch between others:
- Set the default company time zone in your workspace settings.
- Plan all projects using this time zone.
- Freelancers can still set their own personal time zone in the Rentman App. When they view your projects, they will see that all planning is based on the company’s default time zone.
This setup helps avoid confusion when working with freelancers or partners in other regions, as everyone knows the planning is always aligned to the same reference time.
Use multiple time zones if:
You operate across different time zones, and you and your crew members need to switch between time zones:
- The default company time zone still acts as the baseline. Any new project you create is automatically set to this time zone.
- You can then create subprojects and assign different time zones to each of them, depending on where they take place.
Note: The main project will always remain in the default company time zone and cannot be changed. However, each subproject can be configured with its own time zone under the General tab when editing the subproject.
Real-life scenarios
Enable multiple time zones
The first thing that you need to do before beginning to work with multiple time zones in Rentman is to enable the option:
- Navigate to the settingsConfiguration module > Time and location > Time zone
- Change Support for multiple time zones to Yes.
- Save
Note: Each workspace has a default time zone which can be adjusted as needed. With the Support for multiple time zones option enabled, individual users can set their own preferred time zone without impacting others.
Switch your time zone
Once you enable the Multiple time zone feature, you can switch your time zone very quickly and efficiently from the time zone selector at the top of your screen:
- Click on the time zone selector to open it.
- Search for your time zone (city name) and select it.
Once you change the time zone, the page will automatically refresh to apply the new setting.
Note: The time zone selector only changes your view. It does not affect other users' time zones or the default company time zone.
The time zone selector is an easy way for you (and only you) to view a project and make adjustments to it from the perspective of another time zone.
Multiple time zones in projects
When the Multiple time zones feature is enabled, you can assign a different time zone to each subproject. This is especially useful when managing projects across multiple cities, as it ensures that each subproject reflects the correct local time.
Important: The time zone you select in the time zone selector determines the times you enter in the Time schedule tab—not the time zone set for the (sub)project. For example, if your time zone selector is set to Amsterdam, but the subproject's time zone is New York, the times you enter in the Time schedule tab will be in Amsterdam time, not New York.
Multiple time zones in documents and emails
You can display the time zone in your documents. For example, when creating a call sheet, you can customize your document templates to include the time zone of the planning on your documents to ensure greater clarity. The same is also true about the emails and email templates.
Multiple time zones in the app
The Multiple Time Zone feature is also supported in the app. You can change the Rentman app’s time zone manually in the app's Settings. The app will notify you if there is a difference between the Rentman app’s time zone and the time zone set for the subproject. A warning icon will appear to highlight this discrepancy, helping you stay aware of any potential time differences.
Note: Your device's time zone (set in your phone's settings) may be different from the Rentman app's time zone (set manually in the Rentman app). Rentman does not automatically use your device’s time zone. This means the time zone displayed in the app may not match your current location unless it has been manually set.
