You can cancel your Rentman account yourself, from the Configuration module. This article explains who is allowed to cancel, what happens to your data afterward, and how to reactivate your license if you change your mind.
Before you start
- Any power user with Configuration module access can cancel the license.
Cancel your license
- Go to Configuration module > Account > License.
- Click Cancel license.
- Select the main reason you are leaving, and answer the follow-up question.
- Click Continue.
- (Optional) Choose one of the options on the How we can help step.
- Click Continue.
- Check the summary of what you lose and the date your access ends.
- Click Confirm cancellation, and click it again to confirm.
You can stop at any point before the last step by clicking Stay with Rentman. Nothing changes until you confirm.
What happens after you cancel
Your cancellation takes effect at the end of your current billing period. Until then, you keep full access to your account and all of your data, and nothing is switched off or removed. You can see the exact end date on the confirmation step, and afterward in the banner on your license page.
We send a confirmation email to you, to the account owner, and to the financial contact person on the account. This means more than one person at your organization knows the account has been canceled.
On the license page, the Edit license button is replaced by Reactivate license, and a banner shows the date your license ends.
Canceling before or after your renewal date
What happens to your next invoice depends on when you cancel, compared to your renewal date.
| You cancel | What happens to your invoice | Your access ends |
| Before your renewal date | No new invoice is created. | At the end of your current billing period. |
| On or after your renewal date | The new invoice stays due and must be paid. | At the end of the new billing period. |
To avoid a new invoice, cancel before your renewal date. Your renewal date is shown on your license page, in Configuration module > Account > License.
Reactivate your license
You can undo a cancellation. What you need to do depends on whether your access has already ended.
Before your access ends
- Go to Configuration module > Account > License.
- Click Reactivate license.
Your confirmation email also links straight to your license page.
After your access ends
Once that date has passed, you cannot reactivate the license yourself. Contact our Support team within 90 days of that date, and we restore your account and your data.
If you cannot cancel the license yourself
If your user role does not have access to the Configuration module, you do not see the Cancel license button. Ask a colleague whose role does have that access to cancel for you. If nobody at your organization has it, submit a cancellation request and we handle it for you.
FAQs
No. Payments you have already made are not refunded, on monthly and yearly billing periods alike. We do not credit the unused part of a billing period after you cancel, and we do not credit an invoice because a renewal date was missed. Reducing your license takes effect from your next billing period, so it does not lead to a credit for the current one.
Yes. You can remove products, add-ons, or extra power users and keep only what you use. Go to Configuration module > Account > License and click Edit license. We also offer this during the cancellation flow, on the How we can help step.
Only a power user with Configuration module access can cancel. When that happens, we email you, the account owner, and the financial contact person, so the cancellation cannot go unnoticed. If it was not intended, click Reactivate license on the license page.
You can start a cancellation in the mobile app, but we recommend canceling on the license page instead. The web flow shows you what your account contains, the exact date your access ends, and the alternatives to canceling.
