My Project Got Cancelled. What Do I Do?

Sometimes, projects do not go as planned, and you may need to cancel one at the last minute. When this happens, it is important to quickly inform any crew members who were scheduled to work on the project. This helps avoid confusion, ensures everyone is up to date, and keeps your planning organized. This article explains how to cancel a project in Rentman and notify your crew.

How to cancel a project from the web

To cancel a project:

1. Open the project you want to cancel.
2. In the General tab, change the project status to Canceled. Tip: It is also possible to cancel individual subprojects.
3. In the pop-up that appears, decide which actions you want to take:
   • Withdraw invitations - This action expires any sent invitations and deletes any unsent ones. Crew members will no longer be able to respond or be planned on the related functions.
   • Complete tasks - This action marks all open tasks for this project as completed.
   • Remove planned crew and transport - This action removes all planned crew members from functions. (The functions themselves will not be removed.)
   • Inform crew members - This action allows you to send an email with the updated schedule to the relevant employees. (Optional) Add a custom message in the text box to include in the email.
   • Cancel linked subrentals - You will see a list of all connected subrentals when cancelling a project. For each subrental, Rentman clarifies whether it is reserved for other projects as well. You can choose to cancel all subrentals at once, or select them individually. Once you confirm and save, all selected subrentals will be automatically cancelled together with the project.

   Note: These actions only appear if they apply to the project. For example, if there are no pending tasks in the project, the option to complete the tasks will not be available.
4. Click on Perform actions and save to confirm your choices.
5. Alternatively, if you do not take any of the above actions, click on Do not perform any actions Note: If a (sub)project still has open actions such as planned crew or pending tasks when you cancel it, a warning will appear in the General tab to notify you.

How to cancel a project from the app

You can also cancel a project from the app.

Note: If the project includes planned crew members or pending tasks, you need to cancel it from the web.

Open the project you want to cancel. Click on edit to edit the project. Change the project status to Canceled. Click on OK.
