With Rentman version C502, the email flow for online quotes has been improved to streamline communication. Previously, you had to manually insert the online quote link and password variables into email templates - but with the latest update, these are now included by default.
Additionally, when an online quote is published, no PDF is attached to the email by default, helping you avoid redundant files and reducing clutter.
This article explains how the new flow works and how to send an online quote by email.
Sending an Email for an Online Quote
Click the Email icon in the top-right corner.

In the Message text box, review the default email text. The link and password variables are already included:
Dear customer, Your quote is now available online through the following link: {$f.online_quote_url}. Password: {$f.online_quote_password}. Best regards, {$user.vt_fullname}These variables automatically populate with the correct values when the email is sent.
Rentman Tip: To include additional information, such as the customer’s name, project details, or custom text, you can click on 'Add variables' in the email composer. To save your message as a template, click Apply template and select Save as template.
Enter a name for your template and choose whether it should be visible Only for you or Visible for everyone.
Confirm.
Send the email.
Attaching a PDF File to the Email
When sending an email for a published online quote, Rentman no longer attaches the quote PDF automatically.
If you want to include the PDF, you must add it manually.
To attach the PDF manually:
- Open the email composer.
- Under Attached files, click Attach file.
- Select the quote PDF from the list.
