Tasks are useful to indicate what needs to be done. You can use it for CRM purposes to follow up on important leads, remind yourself of vehicle MOT's, remind yourself to update the contract of your crew member, or prepare a list of tasks for your crew. Rentman's notification system ensures that you won't forget a task.

Add a task

Tasks can be added in the Projects, Invoices, Equipment, Contacts, Crew members, Vehicles, Tasks, Repairs, and Statistics modules.

  1. Go to one of the modules, double click on an equipment item, a contact or a vehicle to edit it.
  2. Scroll all the way down and click  Add task

  3. Configure your task options and click Save
Add a task using hotkeys
Use the Ctrl + ⇧ + 1 hotkey to quickly add a task.

Tip: Quickly add a task to any element in Rentman by hovering over the name and clicking the blue "Details" button. Scroll down in the opened sidebar to find the "Tasks" section.

Examples of tasks 

  • Projects: Contact customer X days before the project to check in on their wishes.
  • Projects: Ask for customer's feedback X days after the project has ended.
  • Contacts: Check in with an important lead to keep the contact warm.
  • Vehicles: Bring to garage for yearly MOT.

The Tasks module

The assignment_turned_in Tasks module provides an overview of all tasks in Rentman. Click on the filter_list Filters button to filter your tasks and make selection presets. For example, you can choose to only show completed tasks, or only show tasks for you.

  1. Click  Add task
  2. Configure your task options

Use tags, filters and presets

Tags
Click on the label Tags to filter by tags you have added to the task.

Filters
Click on the filter_list Filters button to select filters. Think of filters as Completed, Not completed and Public (yes/no)

Presets
Click on the blue text in the top left corner to select presets.

Select a display period
This determines and how far back/forward in time tasks should be displayed. Click on the calendar in the top left corner: date_range

Save selection as preset
You can save your configuration as a (new) preset. This allows you to quickly switch between different presets within the assignment_turned_in Tasks module. Click on the blue text in the top left corner and click Save preset.

Task options

Task name
Enter a name for this task.

Deadline
Choose a deadline. If the deadline has passed and the action hasn't been completed, it will turn red.

Visibility
If you select this box, everyone in your Rentman account can see this task.

Crew members
If you do not select For every crew member, you can choose which crew members should see this task.

Details
Add more information about this task in this field.

Files
Add a file to your task.

Tags
Add tags to your task. You can filter through your tasks by selecting tags in the Filter sidebar. A few useful examples of tags are: Preparation, On_location, In_warehouse

Notes
Add a note to your task.

Complete tasks 

After you've finished a task, you can complete it in two ways: 

  • In the Task module: select the task(s) and click complete 
  • In the module, widget or project itself: click on the task and select check.png

Pro-tip: made a mistake by accidentally marking a task as being complete, while it is actually not? Not to worry! You can uncomplete the task in the Task module, by selecting the task and choosing uncomplete. 

Automatically add tasks to a new project

By using project templates, you can automatically add a list of standard tasks to a new project. This is useful to improve your project management and save time for setting up new tasks for new projects.
