Notes are useful to add internal or external messages to an element (like projects, equipment, contacts, etc.). You can choose where a note should be displayed, and who should see them.

Add a note

  1. Open a module.
  2. Edit an element by double-clicking on it.
  3. Scroll down to the mceclip0.pngsection and select the Notes tab
  4. Click  Add note
  5. Fill in the title and text of the note
  6. Click  Save

Use the Ctrl + ⇧ + 2 hotkey to quickly add a note.

Tip: Quickly add a note to any element in Rentman by hovering over the name and clicking the blue "Details" button. Scroll down in the opened sidebar to find the "Notes" section.

User roles

In the user role configuration, you can give your crew access to add notes to items for which they normally do not have writing access to. This comes very useful when you for example do not want to give freelancers access to your complete project module, but you do want them to leave comments and notes about the project.

Visibility of notes

In the Confidential field, you can make notes visible to:

  • everyone
  • account managers only (default setting)

How do I make notes in project visible to everyone by default?

  1. Add or edit a project template.
  2. Add a note, and change the visibility to Everyone.
    Tip: name the note "Note for planned crew members". This makes it easy for the project manager to recognize who will be able to see it.
  3. Save your template, and use this template when creating new projects.

Choose where to display

You can choose to display a note on/in one or all of the following:

  • Details sidebar
  • Warehouse
  • Calendar (My Schedule - crew members will see it in their personal schedule)
  • Quotations
  • Contracts
  • Other documents (packing slips, callsheets)
  1. Edit a note, and select the desired display locations.

Configure default display locations

By using a project template, you can create new projects with the display locations of a note already configured.

  1. Add or edit a project template.
  2. Add a note, and choose the desired display locations.
  3. Save your template, and use this template when creating new projects.
