In this article we provide general information about power users, as well as how to add and delete them.

What is a power user?

Only power users have full rights and permissions in Rentman. Only they can:

  • Create, edit and delete projects
  • Create, edit and delete invoices, contracts and quotations
  • Export invoices, create payment reminders, change payment statuses
  • Add crew members and edit the crew planner schedule
  • Send crew invites and planning  emails
  • Access the settings Configuration module to configure advanced settings in Rentman

Note: Read the Frequently Asked Questions section on the bottom of this article for a list of features that you have access to if you are not a power user.

How many power users do I need?

The number of power users you need depends on whether they need the above-described rights to carry out their job. You can add or delete a power user at any time. Users that don't need these rights can be added to projects as crew members. These accounts are free in Rentman and are added by a power user.

How many power users does my plan cover?

  1. Go to the settings Configuration module > Account > Licenses

How many power user roles are currently assigned?

  1. Go to the settings Configuration module > Account > Licenses.
  2. In the Power users section, you can see how many and to whom the power user roles are assigned to.

In this example, 3 power user roles are currently assigned. If your plan covers 4 powers user roles in total, you still have 1 power user role left to assign. 

Increase the number of power users

  1. Go to the settings Configuration module > Account > Licenses, and choose Edit license
  2. Input the amount of desired additional power users.
  3. Continue the process until your plan is successfully upgraded.
  4. You are now ready to assign the power user role to your crew member in the group Crew members module

Your crew member(s) will only have the correct rights and permissions once you've done this. 

Decrease the number of power users

  1. Go to the group Crew members module, and double-click on a crew member with a power user role.
  2. Navigate to Login information > User role, select a non-power user role, and save your changes
  3. Go to the settings Configuration module > Account > Licenses, and choose Edit license
  4. Input the desired amount of additional power users.
  5. Continue the process until your plan details have successfully been changed.

Note: If you don't complete all of the above steps, you will still be charged for the current amount of power users covered by your plan.

Power users on a trial account

During the trial period, users can add unlimited power users to their account for free, without needing to adjust their license in configuration. Simply change a crew member's role in the crew members module, without modifying any configuration settings!

Can I use a power user for a short period of time?

Yes. If you increase the number of power users, you will receive an extra invoice the next day. You can decrease the number of power users afterward.

How do I transfer my power user license to another user on my workspace?

To transfer the power user license to another user in your workspace:

  1. Go to thegroup Crew members module
  2. Navigate to the profile of the crew member whom you wish to transfer the power user role to.
  3. Change their user role to the power user role.
  4. Click on Save
  5. In the pop-up that appears, change your user role to a non-power user role.
  6. Click on Edit
  7. Read the message and click on Ok
