The short answer is: sometimes yes, but with limitations worth knowing upfront.
This article walks through what's possible — and what isn't — when managing multiple companies or entities within a single Rentman workspace, so you can make an informed decision before committing to a setup.
Important: Having multiple stock locations in a workspace is not the same as having multiple companies in a workspace. These are separate concepts.
Key considerations
Equipment
- It's not possible to exclude equipment visibility for one of the companies. All entities see the entire equipment inventory, even when using multiple warehouses. You can use different warehouses to help distinguish quantities, but full visibility remains.
- It's not possible to assign different prices, factor groups, discount groups, ledger codes, and so on to the same item across different entities.
Projects
- Splitting projects per company can only be achieved through project names, project types, tags, additional input fields, or stock locations.
- There is no option to restrict access to projects from other entities. Users can either view all projects or only those they are assigned to as account manager.
Crew planner
- Differentiating projects per company can be done through project types or tags.
- Staff members need to be filtered using tags or folder structures.
- Data security is limited: crew data from one entity can be viewed by all entities. There is no per-entity restriction on crew visibility.
Finance and configuration limitations
These are the most significant constraints when running multiple companies in one workspace:
- Rentman only supports integration with one accounting software workspace through existing integrations. Multiple accounting systems may be possible via a custom API solution.
- Project types, templates, warehouse statuses, additional input fields, and financial settings are shared across all entities. All users will see all settings, which can lead to errors if teams are not carefully aligned.
- User roles cannot be restricted per stock location. You can filter overviews, but you cannot set access restrictions based on location.
Communication limitations
- Only one email domain can be verified.
- Email sending settings can only be configured for one company.
- Only one version of terms and conditions can be sent.
- The logo on the digital signing page can only be set for one company.
Managing multiple companies in a single Rentman workspace is technically possible, but comes with meaningful limitations in visibility control, financial configuration, and communication. Make sure all stakeholders are aware of these trade-offs before deciding to consolidate entities into one workspace.
