Your profile can hold information you would not want every company to see. This article explains who has access to what, how to change it, and how to respond when a company asks for more.
The short answer: no company gets access to your profile automatically. A company has to ask, and you decide whether to grant it.
The new privacy settings allow you to manage the level of access per workspace you have access to and/or of companies that have found your profile via the CREWZONE marketplace.
Where to manage this
- Open your profile.
- Go to the Privacy tab. Everything in this article is managed there.
The two levels of information
Your profile is divided into two levels for the purposes of access.
Access excluding protected details — Everything in your profile including your basic contact information (your name, contact details, skills, languages, experience, and travel preferences) excluding specially protected details.
Access to your full profile — The information that needs more protection:
- Bank account details
- VAT number
- Chamber of Commerce (CoC) number
- Home address
- Travel documents
- Qualification documents
You decide what level of access you grant to each workspace or company. A company or workspace can never access your protected information without your explicit permission.
Companies you work with
These are the companies whose workspace you have access to, because they have added you as a crew member.
When a company adds you as a crew member for the first time, it cannot see your profile until you allow it. Profile access requests can be found in your profile's Privacy tab under Open requests. Until you respond, the company has no access to your profile information.
Companies you were already working with before this changed may already have access to your profile and contact details. Open your Privacy tab to see which companies these are and what each one can see. You can change or withdraw that access at any time.
Companies that found you on CREWZONE
This section applies only if you have made your profile visible on CREWZONE. If you have not, no company can find you this way.
When a company searches CREWZONE, it sees profiles without names or contact details. If your profile interests the company, it can decide to reveal your contact details to get in touch.
By making your profile visible in the CREWZONE marketplace, companies can reveal your basic contact details without having to request this to you, as per the CREWZONE by Rentman User Terms. This is what makes the marketplace work: a company can reach out to you without waiting for approval first.
You are told each time it happens. You receive an email naming the company, the workspace, and the user who revealed your details.
Revealing your contact details does not give a company access to your specially protected information. That still requires a request that you can accept or decline.
Your Privacy tab lists every company that has revealed your details. You can withdraw a company's access at any time.
Specially protected information
No company can see your specially protected information unless you have granted access to it. This applies to companies that gave you access to their workspace, and companies that found you on CREWZONE.
When a company asks for it:
- You receive an email telling you which company is asking.
- Open the request in Open requests in your Privacy tab.
- Grant or decline the request.
If you decline, the company does not get access to the requested information. It has the option to request this information again. If you do not respond, the request stays open and nothing is shared.
Your Privacy tab shows which companies currently have access to your full profile, including protected information, and you can change the access level for any of them at any time.
Responding to requests
Requests appear in Open requests in your Privacy tab, and you receive an email for each one.
You can grant or decline each request. When you grant access, the company/workspace can access your full profile, including protected information.
Declining the request is not permanent; the company can ask again, and you can grant access later.
Changing or withdrawing access
You can change what a company can see at any time. To change it:
- Navigate to your profile, then open the Privacy tab.
- Under Data Access, select the company.
- Click on the Access column and change the access level.
You can choose between: No access, Access, excluding specially protected information and Access to full profile.
When you withdraw a company's access, it can no longer see or sync that information. Information the company had already copied into its own records before you withdrew access stays in its records.
