A project task board answers one question: how is this project going. But most people do not work on one project at a time. Your designer has work on four projects this week, and what she needs is not four boards; it is one board showing everything the design team has to deliver.
That is what teams are for. A team groups the people who work together, and a team task board shows their work across every project at once.
In this article, you will learn what a team is, how to create one, how to link crew members and tasks to it, and how to set up a team task board.
What a team is
A team is a group of crew members who work together, such as Design, Workshop, Office, or Warehouse. A team does two things:
- It groups your work. Tasks can be linked to a team, which is what makes them appear on that team's board.
- It gives access. Everyone in a team automatically sees all tasks and all boards belonging to that team. You do not share a team board with people one by one.
That second point is the important one. With a project task board, you decide who gets access by adding people to the board. With a team board, access follows team membership: add someone to the team and they see the board, remove them and they do not.
Create a team
- Navigate to the Configuration module > Teams.
- Click on + Add team.
- Enter the team's name.
- Select the team members from the list.
- Confirm.
- Save.
A crew member can belong to more than one team. Someone who designs and also runs the workshop can be in both, and will see both team boards.
Crew members receive a notification when they are added to a team or removed from one, so they know a new board has appeared in their Tasks module.
Edit a team
You can edit a team to remove a team member, add new members or change the team's name.
- Navigate to the Configuration module > Teams.
- Select a team and click on Edit.
- Make the relevant changes.
- Confirm.
- Save.
Link a task to a team
Linking a task to a team is what puts it on that team's board. You do this in the task itself, using the Teams field. See Working with tasks.
Linking a task to a team is not the same as assigning it. A task can be linked to the Design team so the whole team can see it, while being assigned to one designer; or to nobody yet, which is a useful way to park work that the team will pick up later.
Team task boards
A team task board shows the tasks linked to one team, across every project.
Team boards are created in the Tasks module, and each board belongs to one team. Once a board is published to the team, everyone in that team sees it.
Create a team task board
- Navigate to the Tasks module.
- Click on Add task board.
- Add a name for the task board.
- Select the team(s) the board belongs to.
- Confirm.
Once you confirm, a team task board is created. The board opens empty, and you can either create tasks directly on the task board or link existing tasks to the board in the task itself. The board is shared with your team members when you create it.
