Tracking hours on tasks is only worth the effort if you look at the result. Once your team has registered their time, you can put the hours you planned next to the hours the work actually took and use that to price your next project properly instead of estimating again.
In this article, you will learn where to compare planned and tracked time, how to see the hours behind a service, and how to export the time tracked on a project.
The quickest check is on the board itself. In the List view you can use the Tracked time view to turn a task list into a report: the planned time you set, and the hours registered against the task.
Navigate to the Tasks module or a project's Tasks tab.
Switch to list view.
Apply the Tracked hours view.
See the hours behind a service
When tasks are linked to a service, their hours roll up into it. The service then shows what you planned against what the work cost, which is what makes a quote defensible when a client asks why a line item costs what it does.
A service cost is the hourly cost rate multiplied by the time tracked on its tasks. Learn more about services.
Export the time tracked on a project
To work with the hours outside Rentman, or to share them with a client, you can export them.
You can export from the Time registration module or the Tasks module. Learn more about exporting.
FAQs
Why is the time tracked higher than the planned time?
Because the work took longer than planned. That is the report doing its job. A planned time is an estimate made before the work started, and the gap between the two is the number worth acting on, either by changing how the work is done or by changing what you charge for it..
Can I see what the hours cost, not just how many there were?
On a service, yes: the service cost is the hourly cost rate multiplied by the time tracked on its tasks. Costing individual tasks using each crew member's own rate is planned for a later release..
Do unapproved hours appear in these reports?
Yes, they appear. When you export from the Time registration module, you will get a warning if the export includes hours that are not approved.
Can I export the hours for one team?
Yes. If you export from the team task board, the information is already filtered down to only include details about the team's work.
Can I see who is clocked in right now?
Yes. In the Time registration module there are two columns, Clocked in and Created by clocking in. When someone is clocked in right now, it already shows as a time registration row (with the start time of when they clocked in, and the end time of the time that you are looking at it) and Clocked in is set to Yes.
