When booking equipment in the Warehouse module, you could mark an item as lost or defective which automatically returned it to the 'Returned' status.
Now, you log repairs without automatically returning equipment to the warehouse. If damage occurs on location, you no longer need to book the equipment back before you're ready.
This ensures your equipment tracking remains accurate - items are only marked as returned once they are physically back in the warehouse.
Old workflow
In the previous workflow, marking equipment as lost or defective while booking it in through the Warehouse module automatically set its status to Returned.
After confirming the action and completing the required details, the equipment was immediately booked to the Returned status.
As a result, the warehouse status was updated right away, regardless of whether the equipment had physically returned to the warehouse.
New workflow
Check out the steps below for an updated desktop and Rentman mobile app instructions.
Control Equipment Return
- Go to the equipment item you want to mark for repair.
- Click on the three dots more_vert and select Report Defective.
- Fill in the appropriate options in the pop up window.
- In the Return selected equipment dropdown:
- No (default): Keep the item in its current location/status.
- Yes: Book the item back to the warehouse immediately.
- Save your changes.
Control Equipment Return on Mobile app
- Tap the equipment item and select “Mark equipment as defective”.
- Use the “Book equipment returned” checkbox:
- Unchecked (default): Keeps the item in its current status.
- Checked: Books it back to the warehouse immediately.
- Confirm your action.
If a serialized equipment item that was previously marked for repair is later booked back into the warehouse, a notification will appear.
This is intentional: you can mark an item as damaged while it is still on location by leaving the return option set to No. The equipment remains on location, but its repair status is already registered.
Once the item physically returns to the warehouse and is booked back, the notification is triggered. This ensures warehouse staff can immediately see which returned items require attention and follow up with the necessary repair process.
New features (Rentman Version 522)
We added three repair statuses:
In progress
Completed
Unrepairable
These statuses help you track repairs more accurately and manage items that cannot be repaired.
In addition, we introduced a dedicated workflow for unrepairable items. For example:
When an item is broken beyond repair, you will be able to mark its repair as “Unrepairable”.
This allows you to close the repair while automatically adjusting your equipment stock levels.
