Synchronizing the event My Schedule module with your Android or Apple device is useful to keep track of your personal planning and appointments.
Programs or apps that support CalDav allow two-way synchronization: when something is added to the event My Schedule module in Rentman, it will show in the calendar app of your Android or Apple device, and the other way around.
Google Calendar, Outlook and some other applications only support one-way synchronization to your device. So what you add the event My Schedule module will appear in these applications, but not the other way around. This works by adding (importing) an iCal stream to your application.
.
Which items can be synchronized?
Note: You can only see items that your user role allows you to see.
- Projects
- Appointments (both single and recurring appointments).
- Functions - all the functions that you are allowed to see.
- My planning - all functions that you are planned on.
- Reservations
- Tasks
For each of these items, you can choose to synchronize it, or not.
Server address, email address and password
In Rentman, you can find all the details you need for synchronizing.
- In Rentman, go to the event My Schedule module.
- On the top right of the calendar, click the sync button.
Under CalDav synchronization settings, you will find the information you need to connect your calendar:
- Server address: https://workspace.sync.rentman.eu/
- username: Your username
- Password: Your password for this workspace
Have you already connected your profile to this workspace? Use your profile's email address (instead of your username) and your profile's password instead of the password for this workspace.
Android
Android users need to download two applications to make synchronizing possible. This is because Android does not support CalDAV by default.
- Download OpenSync from the Google Play Store.
- Download OpenTasks from the Google Play Store.
- In OpenSync, click + to add a new account.
- Choose Log in with URL and username, and fill in your server address (with the following structure: https://companyname.sync.rentman.eu), email address (or username, if you haven't connected your profile to the worskspace yet), and password.
- Click Login.
- Enter your e-mail address.
- Click Add an account.
- Most users will now receive a push message to give OpenSync permission to view/edit your Calendar, Contacts and OpenTasks application. Doing this is required.
If you did not receive a push message, scroll down to Give permission. - Click on your profile.
- Select which items you want to synchronize.
- Click the settings icon
at the top.
- By default, Refresh calendars and Time between synchronizing tasks is set to every 240 minutes. We recommend setting this to every 5 minutes.
Your Rentman appointments will be shown in the Calendar application of your device.
Your Rentman tasks will be shown in OpenTasks.
Give permission
You need to give OpenSync and OpenTasks permission to access your Calendar, Contacts, and OpenTask applications.
- On your Android device, go to: Settings > Apps (Application Manager) > Permissions.
The names may be different on your device. - Click Calendar, and enable OpenSync.
- Click Contacts, and enable OpenSync and OpenTasks.
- Click Additional permissions > Read tasks, and enable OpenSync and OpenTasks.
- Click Additional permissions > Write tasks, and enable OpenSync and OpenTasks.
Turn off battery optimization
Synchronization does not work correctly if OpenSync and OpenTasks are optimized for your battery. Therefore, you must turn this off.
- On your Android device, go to: Settings > Battery > Battery optimization.
The names may be different on your device. - Click OpenSync, and choose Don't optimize.
- Click OpenTasks, and choose Don't optimize.
iOS (iPhone, iPad)
- Go to the Settings of your Apple device.
- Go to Mail > Accounts > Add Account > Other > Add CalDav Account.
- Fill in your server address, email address and password.
- Click Next, and click Save. A new calendar will be added to the Calendar app.
- Open your Calendar app.
- At the bottom of the screen, click Calendars.
- Here, you can choose which items to synchronize.
Your Rentman appointments will be shown in the Calendar application of your device.
Your Rentman tasks will be shown the Reminders application of your device.
macOS (Mac)
- Go to the Settings of your Apple device.
- Choose Internet accounts.
- Click on the + at the bottom of the window.
- Choose CalDAV account.
- Choose Manual account type, and fill in your server address, email address and password.
- Click Sign in.
Your Rentman appointments will be shown in the Calendar application of your device.
Your Rentman tasks will be shown the Reminders application of your device.
Import iCal stream (Google Calendar, Outlook)
Google Calendar, Outlook and some other applications only support one-way synchronization to your device. This works by adding (importing) an iCal stream to your application.
Some applications, such as Google Calendar, only refresh the iCal streams once per day.
- In Rentman, go to the event My Schedule module.
- On the top right of the calendar, click the sync button.
- Under iCal import settings, you will find a link to the following streams:
- Copy
the link of the stream(s) you want to import.
- Import the iCal link(s) into Google Calendar, Outlook, or your desired application.
Where you need to fill in this link exactly, differs for each program. The following instructions may be useful for you:
Google Calendar instructions: Official article or video (skip to 0:45)
Office 365 (Outlook.com) instructions: Official article or video
Calendars without auto discovery (Thunderbird)
Some calendars don't recognize Rentman's calendar streams automatically. Therefore, you need to manually add a URL for each individual calendar stream.
Thunderbird
- Install the Lightning calendar add-on for Thunderbird. This plugin adds CalDAV support to Thunderbird.
- In the newly added Calendar tab, right click in the sidebar and choose New calendar.
- When asked where your calender should be stored, choose On the network.
- When asked about the Format, choose CalDAV.
- Enter one of the following URL's with your own information into the Location field:
All functions
https://<account-name>.sync.rentman.eu/calendars/<user-name>/all_funcs
My functions
https://<account-name>.sync.rentman.eu/calendars/<user-name>/my_funcs
My calendar
https://<account-name>.sync.rentman.eu/calendars/<user-name>/calendar_mine
Public calendar
https://<account-name>.sync.rentman.eu/calendars/<user-name>/calendar_public
All projects
https://<account-name>.sync.rentman.eu/calendars/<user-name>/all_projects
My tasks
https://<account-name>.sync.rentman.eu/calendars/<user-name>/my_tasks
Public tasks
https://<account-name>.sync.rentman.eu/calendars/<user-name>/public_tasks
When adding your first stream, you need to fill in your login information for verification.
Synchronize your project filters
In the web version of Rentman, you can apply filters in the event My Schedule module. They determine which projects show up in the overview.
If you want to apply the same filters to the calendar on your Android/iOS device, follow these steps:
- In Rentman, go to event My Schedule module.
- On the top right of the calendar, click the sync button.
- Scroll down to Projects calendar settings, and click "Update settings".
