Booking and scanning in the browser

In this article, we explain how to book equipment using the browser version of Rentman. You can also book equipment with the Rentman Mobile app.

General information

By booking equipment to a specific status, everyone in the warehouse knows what needs to happen with equipment items (or sets) and where they currently are located. Additionally, particular details about equipment (broken items, alternatives for planned items, notes) can be directly reported.

It is, however, not mandatory to book equipment in Rentman. The equipment stock is based on the equipment planning, rather than the equipment booking.

The equipment status and the project status can be different.

When you book all equipment to another status, Rentman does propose to change the status of the (sub)project. This is optional.

Where to find the booking screen

  1. Go to the Warehouse module, and locate the project you want to book equipment for.
  2. Click on "Book", in the (sub)project tile.

Here you can see basic information about the item such as the name, the quantity of the item planned (5), the amount that still needs to be booked out (3), assigned serial numbers, and more. You can view equipment notes or add a new note.

Click on the More options more_vert button of equipment in the warehouse to view the equipment image (added in the category Equipment module), split items, or plan alternative items.

View of items and kits

Kits will be shown as a single tile that can be expanded or collapsed. Click expand_more to expand the kit. You can then book a single item from the kit to another status, or the entire kit.

Equipment statuses

Warehouse to prepped The equipment was in the warehouse and has now been packed
Warehouse to location The equipment was in the warehouse and is now to location.
Prepped to location The equipment has been packed and is now loaded.
Return to warehouse The equipment came back from location and has returned to the warehouse.

Customize display

Grouping equipment
By equipment group Equipment will be grouped by equipment group
By warehouse location Equipment will be grouped per warehouse location as defined for the equipment items themselves.
By Folder structure Equipement will be grouped by the folder structure as defined for the equipment items themselves.
Do not group The equipment will be shown in order of addition and will not be grouped.
Sort
By name Equipment will be sorted by name.
By order in project Equipment will be sorted as defined for the equipment items in the project.
By equipment code Equipment will be sorted by code.
By location in warehouse Equipment will be sorted per warehouse location as defined for the equipment items themselves.
By Folder structure Equipment will be sorted by the folder structure as defined for the equipment items themselves.
Display
Kit contents only Only the items of the kit will be displayed (flatten kits).
Combine equipment Combine the same equipment in the same group into single lines. When combined with smart grouping, makes you only have to walk to certain shelves in your warehouse only once.

Manually book equipment

You have two options for manually booking equipment (without scanning):

  • Click on  blobid0.png  or mceclip8.png to book one piece of equipment at a time.
  • Click "Everything to..." to book everything at once.
  • Click on an individual serial number under the item to book this specific serial number.

Book equipment using a scanner

  1. Connect a scanner that can act as a keyboard to your computer.
  2. Click on the "Activate scanner" button crop_free.

  3. Scan your equipment.

Searching for equipment in the booking screen

Can't remember if you planned that extra set of microphones? It's possible to search for any equipment on the project from within the booking screen of the warehouse module.

Workflow for sale equipment

If you planned sale items (i.e. consumables) on a project, when returning your equipment to the warehouse, you must leave the ones you used on location.

When moving equipment from "On location" to "Brought back", you can enter the unused (remaining) quantity of your sales item and press blobid0.png. The quantity that comes back will be accounted for in the stock level of the item.

e.g.: You brought 5 jugs of fog juice to an event, but only 3 jugs were used. When booking equipment back, type "2" in the field next to blobid0.png .mceclip14.png

After moving back all the equipment (not only the sale items), click on the More options more_vert button in the top-right corner and select "Change status and close".

Scan back equipment from multiple projects

If you have serialized equipment from multiple projects coming back to the warehouse at the same time, click Scan return in the upper right corner of the home screen of the Warehouse module. This will allow you to scan back the equipment without opening each project individually.

Note: Bulk equipment is not compatible with the "Scan return" functionality, only serialized equipment.

Add additional equipment

  1. Click the More options more_vert button and select "Enter additional equipment".

  2. Search for and click on the desired item.

  3. Configure price and time options.
  4. Click on Enter equipment.

The additional equipment will automatically be placed in a new equipment group.

When packing items

Split
Items that have been planned in quantity 2 or more can be split in multiple tiles. Click to split and fill in the number of items that should remain on the current tile, after which the other items will move to a new tile.

Note: When splitting items in a kit, both the existing and the new tile will be put outside of the kit.

Alternative
Click and choose another item to plan instead of the current item. The new item will be added for the same price as the planned item. This can be changed by changing the price of the old item.

Note: When choosing alternatives within kits, the items will be assigned a price of 0.

When items are back from location

Equipment Scheduling Pro

In the "Return to warehouse" status, you can mark items either defect or lost by clicking on the More options more_vert button.

Defect
The item will go to maintenance. You can choose to charge the customer for this.

Lost
The item did not return. You can choose to charge the customer for this.
