Once you have finalized your planning, crew members are not automatically notified of changes to their schedule. However, you can use these options to communicate their schedule.
Share schedule
Share the schedule of each crew member directly with them. Depending on their notification settings, they will receive a notification via email, the Rentman app, or the Rentman web. The notification includes all functions they are planned for, along with times, locations, and any remarks for those functions. When sharing a schedule in Rentman, you can choose which functions and projects to include. Each schedule is unique, so recipients only see their own.
From the Crew planner module
- Navigate to the Crew planner module.
- In the top right corner, click on Send ....
- Select Share schedule.
- Select a period and the projects.
- Select the crew members (if there has been a change since the last time you communicated the planning, the crew members affected by the change will have a small yellow dot next to their name.) You can also view which notifications are enabled for each crew member to help ensure they receive their schedule.
- (Optional) Check the schedule by clicking on Preview for a crew member.
- Click on Send in the bottom right corner.
- (Optional) Add a custom email text.
- Click on Send.
From the Crew scheduling tab
- Navigate to the Crew scheduling tab in a project.
- Click on the drop-down arrow next to the blue button to change the primary action of the button.
- Select Share schedule.
- Select the crew members (if there has been a change since the last time you communicated the planning, the crew members affected by the change will have a small yellow dot next to their name.) You can also view which notifications are enabled for each crew member to help ensure they receive their schedule.
- (Optional) Check the schedule by clicking on Preview for a crew member.
- Click on Send in the bottom right corner.
- (Optional) Add a custom email text.
- Click on Send.
Send personal crew schedule file
You also have the option to communicate your crew planning by creating a document with personalized planning and sending it to your crew members. You can customize the document template to display more information about the schedule. After generating a schedule, you can download it as a .pdf or Word file, send it by e-mail, or print it.
From the Crew planner module
- Navigate to the Crew planner module.
- In the top right corner, click on Send ....
- Choose Create personal crew schedule.
- Choose a document template, letterhead, and the desired time period.
- Search for crew members and select them.
- Configure the other options.

From the Crew members module
Navigate to the Crew members module.
Select one or more crew members.
Click on the three dots on the top bar.
Select Create personal crew schedule.
- Choose a document template, letterhead, and the desired time period.
- (Optional) Search for more crew members and select them.
- Configure the other options.
- Generate.
Create call sheets
A project call sheet contains the time schedule of the whole project and the schedule of every crew member. Create a call sheet and send it to team leaders to give them an overview of the crew for a project. The default template in Rentman is called Call sheet but you can edit the template to display the information you want.
From the Crew planner Module
- Navigate to the Crew planner module.
- In the top right corner, click on Send ....
- Choose Create call sheet.
- Choose one of the document templates from the Template field.
- Configure the document settings.
- Generate.
From the Projects module
- Select a project.
Click on the three dots on the top bar.
Choose Create call sheet.
- Choose one of the document templates from the Template field.
- Configure the document settings.
- Generate.
From inside a project
- Navigate to the General tab of your project.
- Click on the drop-down arrow next to the blue button to change the primary action of the button.
- Select Create call sheet.
- Choose one of the document templates from the Template field.
- Configure the document settings.
- Generate.
Document settings
Template
Choose a document template for this document.
Letterhead
Choose the letterhead for this document.
Timezone
Select the time zone in which you want the times in the document to be displayed, if applicable.
If you use subprojects, you can select which subprojects should be shown on this document. By default, all subprojects are shown on all documents that you generate. If a subproject does not appear in this list, please make sure that the subproject is not hidden on financial documents.
Add custom text to be displayed on the document, if applicable.
File name
This will be the name of the file. If you do not enter a file name, the system automatically gives it a generic name.
Display letterhead in background
If you select this option, the letterhead you have selected will be applied to this document.
Subject
This will be used for the subject of your email, when you send the document to a client.
Expand combinations
Choose whether to show or hide the contents of combinations, or use the existing visibility setting defined for each combination.
Display VAT
Choose whether or not to display VAT in the document.
