In this article, you will learn how to create shifts.

Create regular shifts 

To create a regular shift:

  1. Navigate to the account_circle Crew planner module.
  2. Locate the desired date and click the top row labeled 'Shifts'
  3. Configure the shift options.
  4. Click on Save

You can also create shifts from the Availability timeline:

  1. Navigate to the account_circle Crew planner module.
  2. In the Availability timeline, click on the crew member you want to create a shift for.
  3. In the pop-up that appears, click on 'Shift.'
  4. Follow the instruction above.

Shift options
  • Shift name: the name of the shift
  • From: the time when the shift starts
  • Until: the time when the shift ends
  • Quantity: the number of crew members needed for this shift
  • Available for scheduling on other functions: if you choose yes, this shift will not block availability for crew members. If you choose no, the crew members planned for this shift will show as unavailable during the time of the shifts. Note: When function planning overlaps with shift planning, the shift planning duration is ignored for the overlapping period. Therefore, the hours will not be calculated twice.
  • Recurrence pattern: if you want to create a recurring shift, you can set up the recurrence pattern here. Please note that if you do not select an end date for your recurrence, only one shift will be created.
  • Crew member: here, you can assign a crew member to the shift you create. You can also plan crew members on shifts or invite them.
  • Remarks: fill a remark which will be used in the communications for crew planner or the scheduled crew members.
  • Tags: here you can add a tag to your shift and your crew members to find the right person for each job more easily and efficiently using the crew list.
  • Extra input fields: you can use extra input fields to add additional information. Learn more here.

Create default shifts

Setting default shifts speeds up the planning process because you can use them multiple times and do not have to recreate them every time you want to plan a shift.

To create a default shift:

new ui create default shift.gif

  1. Navigate to the account_circle Crew planner module
  2. Locate the desired date and click on the top row labeled 'Shifts'
  3. Click on Default shifts
  4. Select + Create default shift
  5. Configure the default shift options.
  6. Click on Save

Note: The default shift options (including tags, remarks, quantity, etc.) you configure when creating the default shift will be applied to all the shifts you create using this default shift. However, you have the option to edit details for each shift in the future.
For example, if the quantity of a default shift is set to two, but for one single shift, you need three crew members, you can edit the shift and set the quantity to three. This will not change the options of your default shift.

Default shift options
  • Shift name: the name of the shift
  • Duration: the duration of the shift. You can change the duration later if needed.
  • Quantity: the number of crew members needed for this shift
  • Available for scheduling on other functions: if you choose yes, this shift will not block availability for crew members. If you choose no, the crew members planned for this shift will show as unavailable during the time of the shifts.
  • Remarks: fill a remark which will be used in the communications for crew planner or the scheduled crew members.
  • Tags: here you can add a tag to your shift and your crew members to find the right person for each job more easily and efficiently using the crew list.
