Insights into Default, Actual and Planned Content

In this article, we will cover the differences between three content types when it comes to physical and virtual combinations.

Default Content

When you create a physical combination (both bulk and serialized) or virtual combination, you can fill in the default content of this combination. Here's how to access it:

  1. Go to the category Equipment module.
  2. Select your physical combination.
  3. Navigate to the 'Default content' tab.

Default content is a predefined group of equipment items that should be included in the physical combination.

In addition to the ability to predefining the content for a specific combination, users can also enable if certain default content is "Reserved from stock" or "Available outside the combination". This effectively enables certain default content to be either fixed to the physical combination or flexible and available to other combinations.

Actual Content

Actual content refers to the specific equipment items included in a serialized physical combination. Unlike default content, which is predefined, actual content can be individually specified and tracked per serial number.

This new functionality enhances your ability to manage and track serialized physical combinations with greater accuracy and flexibility.

'Actual Content' is only available for physical combinations with the stock calculation method set to "Serialized".

Where to find Actual Content

In the category Equipment module
You can fill in and view the 'Actual content' by selecting a serial number in the 'Serial numbers' tab. Select serial number and navigate to the 'Actual Content' tab.

Actual content will be visible here in the 'Warehouse module', allowing you to track items while packing equipment.

How to fill in your Actual Content

  1. Go to the category Equipment module.
  2. In the 'Serial numbers' tab, select the serial number by clicking on 'Edit'.
  3. In the 'Actual Content' tab, you will see the equipment items that should be in the physical combination as per the 'Default content'.
  4. To fill in the 'Actual content', you can either adjust the number manually or scan the equipment item's QR code or the QR code of the specific serial number of that equipment item.

Upon filling in the Actual content, Rentman will automatically assign a dedicated Content status to each serial number in a serialized physical combination.

The Content status indicates the completeness of each serial number, with the following options:

Complete: Indicates that all the equipment items have been added to the physical combination as per the 'Default content'.

Incomplete: Indicates that there are items missing from what you specified in the 'Default content' for the serial number.

Extra: Indicates that additional items have been added to the serial number of this physical combination beyond what was specified in the 'Default content'.

 

Planned Content

When a physical combination with ‘Default content’ is planned on a project, it automatically becomes ‘Planned content’. This allows you to add or remove items inside the combination as needed, allowing the content to differ from the default content.

Editing the content of a combination in the planning grid can lead to differences from the default content initially set in the category Equipment module. This updated content list, tailored specifically to the project, is also referred to as 'Planned content'.

It's important to note that content does not necessarily need to be edited to become ‘Planned content’; once it's planned in the project, it is considered ‘Planned content’.

'Planned content' is visible to the warehouse crew in the warehouse  Warehouse module during equipment packing for the location. This ensures they select the correct items, reflecting any changes made by the account manager or equipment planner.
