In this article, we present some functionalities that could help make the transition of your physical combinations to new setups as smooth and efficient as possible. We’ve created shortcuts that can save you a lot of time and effort.

Updating actual content of physical combinations
If you've been migrated to a newer version and your containers have been merged with physical combinations, you might have noticed that these combinations do not contain any actual content, which can be confusing. Instead of manually scanning all actual content into the combination during planning, there are two additional, quicker methods available.
Copying Assigned Serial Numbers to Actual Content
Automatically Complete Actual Content
Another way to fill in the actual content of your physical combinations is by choosing the "Complete actual content" option, which automatically fills the actual content of selected serials of your physical combination, marking them as "Complete" instead of "Incomplete". This feature is highly beneficial as it eliminates the need for manual entry of content into combinations.
During warehouse booking, it ensures that all content moves seamlessly with the combination, rather than remaining in its previous status.
Things to keep in mind:
- Proceed with caution when marking combinations as "complete" that may not accurately reflect their real-life completeness. Rentman will not issue warnings for missing equipment in the warehouse, which could result in equipment shortages at event locations. It's essential to thoroughly review all combinations marked as "complete."
- Serial numbers of serialized equipment will not be automatically added individually; instead, they will be added in bulk. This means that until you manually assign serial numbers to the actual content of a combination, Rentman will not track the precise location of these serial numbers. However, availability will not be affected.

Emptying combinations in the warehouse Warehouse module
Sometimes situations arise where combinations are accidentally emptied in the warehouse flow, leading to significant manual work. Additionally, during this process, all items are removed, including those that should remain intact (e.g., amplifiers secured into amp racks).
To address these scenarios, we have introduced two new functionalities below.
Permission for Emptying Combinations
To prevent combinations from being accidentally emptied while working in the warehouse Warehouse, we are introducing a new permission in the settingsConfiguration module. If a user role doesn’t have this permission enabled, they won't be able to empty combinations in the warehouse Warehouse module.
- Go to the settingsConfiguration module and select 'User roles'.

Select user role and click on edit Edit.
- Scroll down to the Warehouse module section and select 'Empty combinations in the warehouse'.
Equipment Stays in Combination When Emptying
If you want to prevent certain equipment from being removed during the "Empty all combinations" process, you can select an additional property in the Default Content tab. Follow the steps below to see how to do this, or check out the video.
- Go to the categoryEquipment module and select your equipment item.

Copying information from virtual combinations to physical combinations
This could be relevant if you've used containers in the past to track in the warehouse and used virtual combinations to plan these combinations in projects.
Note: The following flows can only be performed on physical combinations that were converted from containers.
Tracking in the Warehouse module
With this release, we've merged containers with physical combinations, making them part of the equipment database. However, all relevant information for these combinations is still in the Virtual Combinations, as they were used for planning.
Using the "Copy information from virtual combinations to physical combinations" feature, you can transfer all sorts of information, such as images, financial fields, and webshop information, from the virtual combinations to the newly created physical combinations.
The goal is to use physical combinations for both planning and tracking. By having all the information in one combination, you can plan the physical combination on projects and scan the same combination in the warehouse.
Future planning
Since virtual combinations might still be planned for future projects, there's a second step in this process. This step allows you to additionally plan the new physical combination into these future projects. This makes it easier in the warehouse to scan the QR code of the physical combinations without receiving warnings that the physical combination isn’t scheduled yet on the project.
Things to consider:
- If your virtual combination is set as an alternative or accessory for another combination, Rentman will check these settings before proceeding with copying. If either condition is met, the system will replace your virtual combination with the selected physical combination. As a result, your physical combination will now serve as an alternative or accessory for the other combination.
- The same applies to default content. The system will check if the selected virtual combination is still present as the default content of another combination. If so, it will be replaced by the matched physical combination.
These steps ensure that you can safely archive the virtual combination after completing this process. You can then use the physical combination for all purposes, such as planning and tracking. The virtual combination will no longer be needed and can be safely archived.
