Functions and settings in the Crew planner

In the account_circleCrew planner module you can see all of the crew and transport functions of your projects. Load more than 1 year of events without data performance issues. You can easily shorten and lengthen the time frame of the planned functions as well as dragging an entire function to a different day or time.

Icons and colors

The icons indicate functions:

  • Crew function people
  • Transport function local_shipping 
  • Remark comment

The color of a function indicates:

  • whether there are enough crew members or vehicles (resources) planned on a function.
    • Fully planned (green)

    • Not fully planned (red)

    • Fully planned, but the function is still invisible

  • whether the function is visible or invisible for crew members.
    • Visible (dark blue)

Adjust function times

When you move or drag a function, the times are automatically adjusted in the relevant project.

  • Move the entire function
    Click and drag the function in the overview
  • Change the time frame
    Drag the beginning or the end of a function

  • Choose the precise view
    Click on Screenshot 2024-01-01 at 19.32.38.png to quickly switch between precise times to see the real times and an expanded state that lets you read more about the function itself. Screenshot 2024-01-01 at 19.31.51.png
  • Adjust several function times at once
    Using a cursor, select function times. Then click on one of them and drag. Other chosen function times will change their timing as well. To see how this works, please check out the video from the link at the end of this article.

Set a round trip

For each function you can also display the travel time of the outward journey and/or the journey back in the overview.

You can set these travel times when you create functions in your project.

In the overview these travel times are displayed with light, diagonal striping:

You can also indicate whether a crew member uses these trips or not. You can do this as follows:

Right-click a crew member.

  1. Choose edit Edit
  2. Under Travel time choose between:
    "No transport"
    "Round trip"
    "Only way there"
    "Only way back"
  3. Click  Save

Influence on project costs

Quoting and Invoicing

When you adjust the crew functions in the account_circle Crew planner module, this does not affect the price of the project. 

All function changes are shown in the Financial tab of your project, so you can find out how the changes would (or could) affect your project costs.

Overview settings

In the account_circle Crew planner module, you can choose what information should be shown in your overview. This allows you to configure the overview to your own preference. 

Show

The visibilityShow expand_more button gives you insight in what kind of crew planner items are shown. There are options you can (de)select:

  • Appointments
  • Open invitations
    Crew Scheduling Standard
  • Answered / expired invitations
    Crew Scheduling Standard
  • Reservations
    Crew Scheduling Standard

They give you options to play with, so your overview is clean and only shows what you are interested in.

Filters

You can choose what should be shown in your overview, and what should be hidden. You can save your selection as a preset, to quickly switch between different configurations. By clicking filter_list Filters expand_more you can choose filters for your overview. Read more about filters here.

Resources

On the left side of your account_circle Crew planner module, your resources are shown. Click on the dropdown to choose between "Crew members", "Vehicles" and "Functions not scheduled". In this part it is also possible to search for notes or tags, to do this click on the label label icon or search in the field.

Funtions not scheduled are functions that you added without a date. By using drag and drop function you can drag the functions from the resources to the project timeline. This way you will be able to see the time length of the function.

Timeline

Select checkbox.png one or multiple crew member(s) and click watch_later to show the timeline of the crew member(s) at the bottom of your screen. This timeline will show their planning. This way you get a clear view of when and where your crew is working. 

To see the availability timeline of all crew members or vehicles, hide the planning timeline by clicking on the icon next to the project name, then hold and drag up the availability timeline.

Under the name of a crew member/vehicle, you can also check how many visible and invisible hours scheduled for a specific crew member or vehicle in selected time range.

Fullscreen

To have a larger and clearer overview you can click on the fullscreen crop_free button. Click the button again and you will return to the usual view. Fullscreen mode will hide filters and other options, so you can focus on planning your crew only.

Detailed view

You can easily check what is scheduled for the precise timing of planning by zooming in using three different ways:

  1. Click ­«–» and «+». To zoom out, click on «–» button. To zoom in, click on «+» button.
  2. Zoom with mouse wheel. Smoother zooming without any waiting time till the interface reacts. Place your cursor where you need to find the precise time. Then hold Сommand/Ctrl and move the mouse wheel.
  3. Double-click a date. You can double-click on the date and then on the time to get clear view on what’s scheduled for the particular short timeframe. To get back to wider view, use «–» button.
