Rentman is moving everyone to a single, secure way of logging in using a verified email address. If you currently log in to a workspace with a username (for example at yourcompany.rentmanapp.com) or an email address that is not verified, this article explains what is changing, what you need to do, and by when.
The whole process takes a few minutes, and you only need to do it once.
What is changing?
There used to be two ways to log in to Rentman:
- The old way (unverified login): a username and password or unverified email address that only works for one specific workspace, at a URL like yourcompany.rentmanapp.com.
- The new way (verified login): a verified email address and password that works across every workspace you belong to, at rentmanapp.com/login.
We are phasing out the old username login. Soon, everyone will log in with their email address through their global profile. Until you switch, you will see reminders inside Rentman prompting you to make the change.
Why we are doing this
- Better security. A global profile supports modern protections like single sign-on (SSO), things a username login cannot offer.
- One login for everything. If you work in more than one workspace (for example as a freelancer, or across multiple offices), you will use the same email and password for all of them and switch between workspaces with a single click.
- Nothing changes in your daily work. The migration only changes how you log in. Your planning, projects, and tasks all stay exactly where they are.
How to switch to a global profile
You can switch in one of two places; both lead to the same result.
Option 1: From the login screen
When you log in with your username or an unverified email address, you will see a message telling you that login without a verified email address is being discontinued. To switch:
- In the login screen, click on Verify email address now.
- Enter the email address you want to use, then enter it again to confirm.
- Click on Verify email address now. Rentman checks that this email is not used more than once within your workspace.
- Check your inbox and follow the link in the email we sent you.
Option 2: From inside your workspace
After you log in, you will see a warning banner just below the navigation bar.
- On the banner, click on Set up email address to open the migration page.
- Click on Verify email address now.
- Enter your email address, then enter it again to confirm.
- Click on Verify email address now. Rentman checks that this email is not used more than once within your workspace.
- Follow the link in the email we send you.
What happens after you enter your email
What you receive depends on whether that email is already known to Rentman:
- If the email is new to Rentman, you will get an email asking you to set a password, verify the email address and create your global profile.
- If you already have a verified profile with that email (for example, you use it for another workspace), you will get an email asking you to confirm and link this workspace to your existing profile. Afterwards, that one profile gives you access to both.
Once you have finished, log in from now on at rentmanapp.com/login using your email address and password. You can also log in with Google, Microsoft, or Apple if you prefer.
Switching from the mobile app
Most crew members use the Rentman app, so this applies to many of you.
- When you open the app and log in with your old credentials, the migration page is shown.
- You will also see a warning in the app's sidebar with a button to start the switch.
- Complete the steps in the app. When you are done, you will stay logged in to the app; no need to reinstall or set anything up again.
The timeline: be ahead of the change
The switch happens in stages. The sooner you do it, the less disruption you will notice.

After the final deadline, any account that has not switched will have its login credentials removed and be set to inactive. If that happens to you, you will not be able to log in on your own — you will need to contact a workspace administrator to restore your access. It is much easier to switch now while the option is in your hands.
