Each equipment item on a project can have its own planning period and usage period. When you plan an item, it takes the default periods of its subproject, or of the main project if the subproject has none. An item keeps that time until you give it a different one, so you only need to change the items that deviate.
Set a time on one equipment item
Go to the Equipment tab of your project.
Click the Planning period or Usage period cell of an equipment line.
Select a time from the list, or click + Add new time to create one.
Click Save.
The list shows the entries of the time schedule of the main project and of the current subproject. Hover over an entry to see its exact start and end date and time.
Once new time has been added, it will appear in the 'Time schedule' tab of the project.
Set a time on several items at once
Go to the Equipment tab of your project.
Select the equipment lines you want to change.
Click Edit in the blue bar.
Select the checkbox next to Planning period, Usage period, or both.
Select a time from the list, or click Add new time.
Click Save.
In the screenshot, (1) shows the checkbox and field for the Planning period, (2) shows the list of times you can choose from, and (3) shows the button that saves your changes.
To give a whole equipment group the same time at once, double-click the name of the group and change the times there. This is useful when only one item deviates and the rest of the group stays on the group time.
Rentman Tip: Add the time periods you use often to a project template. Every project you create from that template already has the entries you need, so setting a time per item takes a single click.
Good to know
Combinations
Items inside a physical combination follow the time of the combination. You cannot give them a time that differs from the combination or from the other items in it. This is possible with virtual combinations.
Sales projects
If you do not need planning and usage times at all, set a duration instead of a period. Rentman uses the duration to calculate the factor that determines the price.
Pricing
The total price and the price factor recalculate automatically from the usage period of each item, so an item that is rented for part of the project is billed for that part.
FAQ
Do my existing projects change?
No. Your existing projects, equipment groups, times, and history stay exactly as they are, and Rentman does not convert any data. Items keep their current time until you give an item a different one.
Can I type a time by hand?
No. The time of an item always links to an entry in the time schedule. If the time you need is not in the list yet, click + Add new time while you set the period. Because the item follows the entry, its time stays correct when the project shifts.
Why can I not give an item in a combination its own time?
Items inside a physical combination always follow the time of the combination. Items inside a virtual combination can have different times. For more details, see 'Combinations' Submodule.
Where can I see the periods of an item?
Open the equipment timeline of the item and hover over a project. The timeline shows the planning period with stripes and the usage period in solid color. For more details, see Equipment Timeline.
Does the price change when I give an item a shorter usage period?
Yes. Rentman calculates the price factor and the total price from the usage period of each item. If a new time changes the price factor, Rentman asks you to confirm before it recalculates the factor for the planned equipment.
Can I set a duration instead of a period?
Yes, if you do not need planning and usage times at all, for example on a sales project. Set a duration instead of a period, and Rentman uses it to calculate the factor that determines the price.
How do times per item affect packing lists?
A packing list is the equipment tied to one pickup or return date of a (sub)project. When items have different times, they can end up on different packing lists. For more details, see Warehouse Module: Tile View.
