In this article, you will find everything you need to know to solve an equipment shortage from within a project.

When you add an equipment item to a project, it is automatically planned for that project.

However, if you have planned for more of an item than you have in stock, your project will experience a shortage of this item. In your availability timeline, a shortage will be indicated by a red line.

You can also see the shortages for your projects in the Projects module using the Project progress icons.

When a project has a shortage, the Equipment planning icon appears in red.

The equipment timeline helps you get more information about your stock availability.

How to solve your shortage from within the project

To solve your shortage:

Go to the Equipment tab in your project.
Select the equipment with the shortage and click on the More actions more_vert button or right-click on the item.
From the menu that appears, select Solve shortage.

Options to solve your shortage from within the project

After clicking on "Solve Shortage" a pop-up window will appear, presenting four different options for resolving your equipment shortage.

Color indicator

Green - The option is available for use.

Red - This option cannot be used.

Tip: Even if 'Alternatives' option is indicated by the color red, you can still use it by adding a new alternative using the search bar. This alternative is saved and can be reused for future shortages.

AlternativesEquipment Scheduling

You can add an item to plan on projects as an alternative for other equipment.

For example, if you have two different speakers that are very similar and can be used instead of each other, you can set them up as alternatives to one other.

Internal SubrentsEquipment Scheduling Pro

When there's a shortage of an item and the same item is available in another warehouse, you can create an internal subrent to borrow the equipment from another stock location.

After the project is completed, the equipment is returned to its original stock location.

Transfer ProjectsAdditional warehouse

To solve a shortage, a transfer project functions similarly to an internal subrent by allowing you to utilize equipment from other stock locations. However, unlike an internal subrent, the item will not return to its original warehouse once the project is completed. Instead, it will be transferred to the warehouse/stock location from which the project was initiated.

External SubrentsEquipment Scheduling Pro

The final option for resolving shortages is to incorporate an external subrent. Within the sub-folder Shortages of the Shortages module or the 'Equipment' tab of a project, you can initiate a new subrent for the required equipment items.

This increases your stock for the duration of the subrent, effectively addressing your equipment shortages.

Item shortage on multiple projects

It may occur that two (or more) projects have a shortage of the same item in the same time period.

For example: You have planned a DJ booth on 2 different projects. If these projects are planned within the same time period, you have planned 2 DJ booths at the same time. If you only have 1 DJ booth in stock, you, therefore, have a shortage of 1.

In this example, both projects have a shortage of the same item. You can give one of these projects priority for this item. You do this by reserving this equipment item for that project.
